Privacy & consent

What we collect when you use the matching wizard, why we collect it, who sees it, and how to get it back or have it deleted.

The short version

We collect what you type into the matching wizard, plus standard usage analytics. The wizard is the only place we ask for personal details. Analytics counts visits and shows us which guides help, so we can improve them.

Your enquiry goes to one place: the aged care provider you choose. You can ask us at any time for a copy of what we hold, or ask us to delete it.

Who we are

Elderberry is operated by NavigateEngine Pty Ltd (ABN 99 674 626 174), Unit 3063, 36 Evelyn Street, Newstead QLD 4006, Australia.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). For anything on this page, contact ky@navigateengine.com.au.

What we collect

Everything below comes from the form you fill in at Get matched. We do not buy personal information, and we do not gather it from anywhere else.

WhatWhy we need it
Your name, email and phoneSo the provider can contact you about a place.
Your relationship to the person needing careMost enquiries come from an adult child, not the resident. It tells the provider who they are speaking to.
Postcode and stateTo show homes near you and rule out ones that are too far.
Your answers about care needsWhether an ACAT assessment has been done, how care will be funded, when care is needed, what kind of care, and whether you are already speaking to providers. This is what makes a match useful rather than random.
Anything you type in the free-text boxOnly what you choose to write there.
The home or provider you selectedIt is the whole point of the enquiry.
The page that sent you to the wizardTo learn which of our guides actually helps families. It is a page address, not a profile of you.
Your consent choicesTo record what you agreed to, and when.

Health information

Your answers about care needs are health information, which Australian privacy law treats as sensitive and protects more strictly than an email address. We only collect it because you tick the consent box before submitting, and we only use it for the enquiry you asked us to make. If you do not tick that box, the form does not submit and we receive nothing.

Analytics and cookies

Two ordinary technical exceptions, which we mention because they are true rather than because they identify you. Our hosting receives standard web server request data, and the interactive map page loads its mapping library from a public code network, which receives the IP address your browser connects from. Neither is used to build a profile.

Who we share it with

We pass your enquiry to the aged care provider you select, so they can contact you about a place. That provider is the only party we share it with. We do not share it with other providers, and we do not publish it.

Two service providers necessarily hold the data because they run the site: our website host and our database provider. They store and process it on our instructions and do not use it for their own purposes. Some of their infrastructure may sit outside Australia, so your information may be stored or processed overseas.

Marketing email

The second checkbox in the wizard is optional and unticked by default. Tick it and we may email you aged care guidance. Leave it and we will not. Either way you can unsubscribe at any time, and asking us to stop is enough; you do not have to explain why.

How long we keep it

We keep an enquiry for as long as it is needed for the purpose you gave it to us for, and for as long as we are required to keep records. When neither applies any more, we delete it. You do not have to wait for that: ask us to delete your enquiry and we will.

Security

Enquiries are stored in an access-controlled database that is not readable by the public website, and they travel to us over an encrypted connection. No system is perfect, and we will not pretend otherwise; what we can say is that the number of people and systems that touch your enquiry is deliberately small.

Getting a copy, fixing it, or deleting it

Email ky@navigateengine.com.au and ask. You can request:

We will respond within 30 days. There is no charge. We may need to confirm who you are first, so that we do not hand your information to someone else.

Complaints

If you think we have mishandled your information, tell us first at ky@navigateengine.com.au and we will investigate and write back within 30 days.

If our answer does not resolve it, you can complain to the Office of the Australian Information Commissioner, the national privacy regulator, at oaic.gov.au or on 1300 363 992.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date below. Material changes to what we collect or who we share it with will not be applied to enquiries already submitted under the old terms.
